Who we are

West Chester AI is an AI consulting studio based in West Chester, Pennsylvania. We teach, advise, and implement practical AI for individuals, teams, and growing companies. Our public site is operated by Joshua Dear, Founder & Principal Advisor.

Scope

This policy covers information collected through our website, contact and newsletter forms, transactional emails related to those forms, and booking flows linked from the site (for example Calendly). It does not replace a separate client engagement agreement. When we work with you under a paid engagement, that agreement and any statement of work may include additional confidentiality and data-handling terms that control for client deliverables.

Information we collect

We collect information you choose to provide:

• Contact form: name, email address, organization (optional), interest or offering selected, and message content.
• Newsletter: email address.
• Booking: when you schedule through Calendly or a similar calendar tool, that provider may collect your name, email, meeting details, and any notes you submit. We receive booking notifications so we can prepare for and attend the meeting.
• Email correspondence: if you email us or reply to our messages, we keep the content needed to respond and manage the relationship.

When you visit the site, our hosting provider (Vercel) and related infrastructure may automatically process technical data such as IP address, approximate location derived from IP, browser type, device information, referring URL, and timestamps. We do not currently run a separate advertising or product analytics pixel on the site.

Please do not submit passwords, payment card numbers, Social Security numbers, health information, or other highly sensitive or privileged materials through the public contact form.

How we use information

We use the information above to:

• Respond to inquiries and schedule discovery or paid sessions
• Send a confirmation that we received your contact message
• Deliver the newsletter and related studio updates you requested
• Operate, secure, and improve the website and email delivery
• Comply with legal obligations and protect our rights

We do not sell your personal information. We do not share it for cross-context behavioral advertising.

Legal bases

Where applicable privacy laws require a legal basis, we rely on: your consent (for example newsletter signup); performance of a contract or steps you request before a contract (for example booking and client intake); our legitimate interests in running a small consulting practice and responding to business inquiries, balanced against your rights; and legal obligations when they apply.

Sharing and processors

We share information only with service providers who help us operate the site and communicate with you, and only as needed for those purposes:

• Vercel — website hosting and delivery
• Resend — transactional email for contact notifications and visitor confirmations
• Google Workspace — business email for hello@westchesterai.org and related aliases
• Calendly — scheduling for Discovery Calls and other sessions when linked from the site
• Newsletter provider — if and when we connect a list provider (for example via a webhook), subscriber emails are stored with that provider so we can send the newsletter

Those providers process data under their own terms and privacy policies. We may also disclose information if required by law, legal process, or to protect the rights, safety, or property of West Chester AI, our clients, or others.

Cookies and analytics

The site does not presently set first-party marketing cookies or load a third-party analytics suite under our control. Our host and embedded tools (such as Calendly on booking pages) may use cookies or similar technologies as described in their policies. Your browser settings control cookie preference for those tools.

Retention

We keep contact messages and related correspondence for as long as needed to respond, manage follow-up, and maintain ordinary business records, then delete or archive them when they are no longer needed. Newsletter addresses remain until you unsubscribe or ask us to remove them. Booking records follow the retention practices of the scheduling provider and our calendar/email systems. Technical server logs are retained according to our host’s defaults unless we have a longer need for security or abuse prevention.

Security

We use reputable providers and access controls appropriate for a small studio. No method of transmission or storage is completely secure. For confidential client materials after we are engaged, we will point you to a channel suited to that work rather than the public website form.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information we hold about you; to object to or restrict certain processing; and to withdraw consent where processing is based on consent (for example unsubscribing from the newsletter). California and similar U.S. state laws may also grant rights to know, delete, and opt out of “sale” or “sharing” for targeted advertising — we do not sell personal information or share it for that purpose.

To exercise a privacy request, email hello@westchesterai.org with enough detail for us to verify and respond. We will not discriminate against you for exercising privacy rights.

Children

The site and our services are directed to adults and businesses. We do not knowingly collect personal information from children under 13 (or under 16 where a higher age applies). If you believe a child has provided information to us, contact us and we will delete it.

International transfers

We are based in the United States. If you contact us from outside the U.S., your information will be processed in the United States and possibly other countries where our providers operate. Those places may have different data-protection laws than your home country.

Changes

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the site after an update means you acknowledge the revised policy. For material changes, we may also provide additional notice on the site or by email when appropriate.
